DrupalCampNYC3 Recap

DrupalCampNYC3 is over and everything has finally been wrapped up. The camp was a big success bringing over 130 people together for one full day of Drupal Goodness and a second day of developer hacking. As usual the crowd consisted of people from all walks of life from the complete new-to-drupal person to the advanced Drupal hacker. It was a great time. Thanks to everyone that attended!

Now onto business. Sponsorships to DrupalCampNYC3 came to $2,628 cash after CC & bank fees. We spent $2,314 of that on T-Shirts, Stickers, buttons, Breakfast (2 days), Lunch (1 day), after camp drinks and other misc. fees (full discl. below). This left us with roughly $300 which was promptly donated back to the Drupal Association. We felt that this donate was an appropriate use of Sponsorship funds as it helps to advance Drupal and eventually will help seed future DrupalCamps.

I'm a huge propent of transparent financial management for events like DrupalCamp and to that end here are the cash inflow/outflows for DrupalCampNYC3. I left out the sponsor's names because all sponsorships are equal in real value.

  • Funds Received =$2,628
    • Paypal: 700 - 22(CC fees) = 678
    • Sponsor: 300
    • Sponsor: 300
    • Sponsor: 400
    • Sponsor: 1000 - 50 (CC fees) = 950
    • Sponsor: 500 (paid directly to food vendor)
    • Sponsor: 300 (paid directly to food vendor)
  • Expenses = $2,322.30
    • Shirts + Stickers + priority shipps (VGkids); 1,478.30
    • Breakfast 1st day (bagels & drinks) reimbursement to Michael Mandiberg: 300
    • Breakfast 2nd day + office supplies reimbursement to Sam Tresler: 165
    • Drinks at Brazen head (first day at bar) 80
    • Lunch 2nd day: 140
    • Drinks from Perelandria: (second day) 14
    • Drinks from Duane Reade: (second day) 5
    • Misc. cash expenses (delivery tips, pens, ice, bags, drinks, etc.) : 130
      mainly delivery tips but also too many runs to Duane Reade to pick up misc. crap
    • Shipping expenses to shirt designer and Dries : 15
  • Donation to Drupal camp = $2,628 - $2,322 = $304 actual donation $300
That is about as upfront and honest as I can be with the expenses of the camp, all in all I think we did rather well with camp expenses and we're able to pull off quite a bit with what we had while also giving back to the NYC community and Drupal community! The remaining $4 btw will be used at a Drupalmeetup in NYC or another state.... I'll buy someone a coke ;)

Wish I coulda been there... Hey Jacob, from the sound of it, this was a great DrupalCamp... I wish I'd been able to make it down to the city. Congrats for pulling it off. BTW, the shirts look great, and I love those "I Drupal NY" buttons.
